IG Rep Responsibilities

Overview of Intergroup Representative Position:
The Intergroup Representative (also called an Intergroup “Rep”), plays a critical role in the structure of Overeaters Anonymous. The primary responsibilities of the Intergroup Rep include voting on behalf of the meeting they represent and transmitting information from Intergroup back to their meeting (and vice versa!)

Intergroup Reps are expected to regularly attend both the meeting they represent and our monthly New York Metro Intergroup meeting. Currently, Metro Intergroup’s monthly meeting takes place via Zoom on the second Thursday of each month from 6:45-8:30p following an orientation for new Intergroup Reps from 6:30-6:45p.

Responsibilities:

  • During the Month Leading Up to the Intergroup Meeting Collect Meeting Issues. Take note of any concerns, feedback, ideas, questions, etc. from your meeting that could be relevant to Intergroup motions, discussions and decisions. This information can be gathered during the course of meetings, business meetings and individual conversations.
  • Communicate to IG. If you have specific items to add to the Intergroup’s next meeting agenda and/or if you think a situation in the meeting you represent requires immediate support, please e-mail Intergroup at office@oanyc.org.
  • Read Emails. Prior to the Intergroup Meeting, familiarize yourself with any Intergroup reports and communications that are sent via e-mail.
  • Cover Absences. If you are unable to attend an Intergroup meeting, please inform the Intergroup Chair and Corresponding Secretary via email in advance of the Intergroup meeting and secure a volunteer from the meeting you represent to attend in your place (and when votes are taken, vote in your place.) Reps who have unaccounted absences are subject to removal from their roles as Intergroup Reps in accordance with their meeting policies.
  • Encourage Writers. Announce to the meeting you represent about contributing to the Metro Memo and reach out to the Publications Chair (Publications@oanyc.org) to learn how members can get their writing published.

During the Intergroup Meeting:

  • Share your email address with the Corresponding Secretary to receive a monthly Highlights Reel to share happenings at Intergroup during announcements and/or your group’s business meetings.
  • Once back in person, pick up paper copies of Intergroup materials and/or digital handouts to take back to the meeting you represent.
  • Participate in discussions, vote on behalf of your meeting, volunteer to do needed tasks during the meeting and join our committees! While personal opinions are welcome at Intergroup, it is important to remember that your primary responsibility is to serve the needs of the meeting you represent and that the Steps, Traditions and Concepts are what guide our decisions.
  • A 7th Tradition collection is taken. At Intergroup, our 7th tradition collections are specifically used to support the Board’s discretionary fund which helps to send more reps to the Region 6 assembly, further Intergroup’s outreach and more.

After the Intergroup Meeting:
Use the Highlights Reel to communicate all relevant discussions, decisions, event information, etc. to the meeting you represent.

Additional Information and tips:

  • Use Online Tools. Remind your meetings that www.OANYC.org and www.oa.org are valuable resources for meeting and special event information. It is also a helpful to announce that there are phone meetings, online meetings and often telephone meeting marathons during major holidays which can be found both through oanyc.org and www.oa.org. Although not an official part of the Rep’s role, announcing these resources monthly or quarterly can be a great service to the meeting you represent.
  • Email the IG Officers. Intergroup has established position-based e-mail addresses for your use when contacting members that hold positions. When communicating with officers via email, members are asked to keep Traditions 5 and 6 in mind which state that our primary purpose is to carry the message to those who still suffer and that OA ought never endorse, finance or lend the OA name to any related facility or outside enterprise.
